Privacy Policy

A clear account of the information involved in using ClokIt USA, how it supports the service, and the choices available to you.

1. Overview

ClokIt USA, LLC (“ClokIt,” “we,” “us,” or “our”) provides tools for existing-building documentation, field reporting, project organization, and related building-information services. This policy describes the categories of personal and project information that may be processed when you visit our website, create an account, or use ClokIt services.

ClokIt may also be used by organizations that administer their own members, projects, and records. Where an organization controls the information in its workspace, its instructions and applicable agreements may affect how that project information is handled.

2. Information we collect

Account and organization information

Names, email addresses, sign-in identifiers, workspace memberships, organization names, account settings, and communications you provide to ClokIt.

Project information and files

Property addresses and locations, building descriptions, field measurements, floor plans, drawings, notes, photographs, equipment information, reports, and other materials that users choose to enter or upload. These materials can contain personal information depending on what is captured.

Operational and technical information

Information needed to operate and protect the service, such as browser and device details, system logs, access times, request metadata, and usage or performance events. Payment-related transactions may be handled by a payment service provider; we do not need full card numbers to display account purchase or billing records.

Information you choose to share

Messages submitted through our contact form, project-sharing selections, recipients of user-initiated deliveries, and feedback you send us.

3. How we use information

  • Provide user accounts, organization workspaces, field documentation, published reports, and other requested features.
  • Store and organize building records and help users review and share the material they choose to release.
  • Respond to inquiries, provide support, manage service-related notices, and process applicable billing.
  • Maintain account integrity, troubleshoot issues, prevent misuse, and improve reliability and usability.
  • Meet legal obligations and enforce applicable service agreements.

We do not require a connection to a personal email mailbox simply to visit the public marketing website.

4. Storage and security

ClokIt uses hosted infrastructure and service providers to support its applications, databases, file storage, authentication, and website operations. We use measures intended to reduce unauthorized access, including account access controls and restricted access to sensitive systems. No website or storage method can guarantee absolute security.

Users and organizations are responsible for granting appropriate access to project records, using strong account authentication, and checking that files shared through external services are intended for their recipients.

5. How information may be shared

Information may be processed by infrastructure, storage, authentication, analytics, payment, and customer-support providers as needed to provide the service. Information may also be disclosed when required by law or to protect legitimate rights and safety, as permitted by applicable law.

ClokIt may provide user-controlled links for published reports, photographs, project files, or third-party document repositories. A record or document made available through a public or shared link may be accessible to people who receive that link, subject to the permissions of the relevant service. Review publication and sharing settings carefully before releasing information.

We do not present customer project records as public content without an applicable publication or sharing action.

6. Google account and email integrations

Users may choose Google sign-in where available. This uses information associated with authentication, such as the Google account identifier and email address, to support account access.

A separate optional Gmail delivery integration is under development. If offered, it will require the user to grant the permissions shown by Google and explicitly authorize sending a project email. That workflow is intended to use only the permissions needed for that action, rather than general mailbox-reading access. The app’s actual consent screen and connection controls will describe the available permissions before use.

ClokIt does not treat signing in with Google as permission to send email from that Google account. Users can review or revoke Google-granted access through their Google Account security settings.

7. Your choices and rights

Depending on where you live, you may have rights to access, correct, export, or request deletion of certain personal information, and to object to particular processing. You can request assistance through our contact page. We may need to verify identity and confirm whether ClokIt or the relevant workspace organization controls the requested information before responding.

You can also manage public sharing choices inside the applicable service features and adjust browser preferences where supported.

8. Retention and changes

Information may be retained for the period needed to operate accounts, support projects and organizations, comply with applicable obligations, resolve disputes, and maintain security. The applicable retention period can vary by information type and agreement. We may update this policy as the product or legal requirements change; the “Last updated” date will reflect material revisions.

9. Privacy questions

For privacy questions or requests, contact ClokIt USA, LLC through the public contact form and indicate that the inquiry concerns privacy. We are based in the United States.
